First Steps in ArtCalendar Pro Pro

Imagine you are the production manager for the Vienna Philharmonic Orchestra, about to launch the European Tour 2024. Your first tasks include setting up artist profiles, scheduling performances at venues like Teatro dell’Opera, and collaborating with a distributed project team. This guide will walk you through the basics.

Adding Your First Contact

  1. Go to Contacts.
  2. Create a new contact (e.g. “John Smith”) and add at least an email address.
  3. (Optional) Add phones, addresses, and tags/types as needed.

Once you save the contact, you will see options to add further details, create group memberships (for band members or production teams), and assign this contact to upcoming events or projects. This workflow demonstrates how ArtCalendar Pro Pro centralizes all your personnel management, so you never lose track of key people or their connections.

Creating Your First Event

  1. Go to Events and create a new event (e.g. “Opening concert”).
  2. Set date/time (or mark it as all-day when applicable).
  3. Add the venue and participants (contacts, companies, groups) as needed.
  4. (Optional) Attach documents and notes.

If you work with equipment/venues as resources, you can also book Resources for the event and let ArtCalendar Pro Pro detect conflicts.

Launching Your First Project

  1. Go to Projects and create a new project (e.g. “European Tour 2024”).
  2. Link events to the project to keep everything grouped (calendar, participants, finances, documents).
  3. Add contacts/companies to the project team and start tracking tasks, documents, and finances.
